Addressing Workplace Safety and Employee Health

Before achieving official certification as a veterinary practice manager, you had in-depth training and education in proper standards for safety and wellness. Every veterinary hospital and clinic must remain compliant with protocols for cleanliness, infection control, emergency preparedness, etc. Learn more from the Veterinary Hospital Managers Association by reading their informative blog post about workplace safety.

Vet Tech Tips and Ideas

The MVE (most valuable employee) in every field of veterinary medicine is the vet tech. They’re ubiquitous in the industry, with options to work at an animal hospital, private vet clinic, research lab, or emergency veterinary care practice.

What Are the Responsibilities of a Veterinary Technician?

Veterinary technicians provide crucial support and assistance to the entire practice. Specific duties vary based on the type of practice, veterinarian, and care. However, most techs assist with patient care and exams, collect specimens, perform lab work, collect vital signs, prepare exam rooms and equipment, and handle diagnostic testing.

Importance of Continuing Education and Knowledge

Obtaining your official veterinary technician certification is a huge accomplishment, but don’t stop there. Seeking out more knowledge and education should be a top priority for any employee in the field of veterinary medicine, including vet techs.

According to a 2022 survey by the National Association of Veterinary Technicians in America (NAVTA), credentialed vet techs with a BA or BS in veterinary technology earn $35.70 per hour on average. On the other hand, those with an AAS or AS earn an average of only $25.80 per hour. Besides the financial advantages, investing in further training and education improves your skills and knowledge of patient care and veterinary practice management.

Coping With Stress and Burnout

The COVID-19 pandemic created severe challenges for those who chose a veterinary assistant or technician career path. A labor shortage also exacerbated these issues, which included professional burnout (70%) and compassion fatigue (65%). Knowing how to identify the signs and execute healthy coping skills is essential to overcoming these problems.

Tips for dealing with workplace stress and fatigue include avoiding overtime, practicing self-care, improving communication with staff and veterinary practice managers, exercising regularly, and receiving therapy.

Veterinary Receptionist Tips and Advice

The veterinary office manager-slash-receptionist who works your front desk is the face of your practice. They serve as the first point of contact for every pet owner and are the glue that holds together your entire veterinary team. The list of duties for receptionists goes on and on, from answering phone calls and greeting clients to administrative tasks, human resources, and other practice management tasks. They’re masterful multi-taskers and customer service gurus whose extraordinary leadership skills keep your veterinary practice operating like a well-oiled machine.

How to Improve Service Skills and Office Efficiency

Working the front lines at a veterinary clinic requires endless patience and a die-hard commitment to superior service. The following tips can help you enhance your patient skills:

• Focus on client education instead of the hard sell
• Develop authentic patient relationships
• Use veterinary practice management software for task automation
• Maintain a warm, polite manner and tone
• Set professional boundaries with patients and staff

Maintain High Client Retention Rates

Successful veterinary practice management doesn’t mean being personable or a fast typist. Remember, your veterinary hospital (or clinic, etc.) is a business, and its survival depends on factors like client retention, cost efficiency, and increasing profits.

Building a loyal client base depends largely on whether your practice can deliver a positive experience and a superior level of care. Because your receptionist isn’t a veterinarian, they can’t impact the quality of treatment your practice offers. However, using tools like Weave’s Phones, Reminders, and Digital Forms helps reduce the hassle and time spent on paperwork and other administrative tasks.

Clients can complete the necessary forms online before they arrive at their appointment. Our system also sends out automatic appointment reminders, cutting down on the problem of no-shows. Or, implement a patient loyalty program to give your practice a special edge and a bonus your competition may not offer.

Tips To Make Vet Scheduling Smooth and Easy

Does your veterinary practice offer a simple, straightforward, and convenient method to handle patient scheduling? Is there a clear delegation of leadership as to which staff member is responsible for this critical task? Every practice manager knows the challenges of efficient veterinary scheduling and how it can affect retention rates and client satisfaction.

What Are the Challenges of Booking Client Appointments?

Poor scheduling practices aren’t just a hassle for your staff; they’re also detrimental to workflow efficiency and client satisfaction. The most common obstacles that practice managers have to deal with regarding scheduling include:

• Double-booking
• No-shows
• Chronically tardy patients
• Emergency appointments
• Overly long wait times

Booking and confirming appointments can be particularly difficult for a large veterinary hospital with a sky-high patient volume. Thankfully, there are plenty of solutions your practice manager can use to streamline scheduling and make the entire process easier, simpler, and more convenient.

Practical Solutions for Scheduling Veterinary Appointments

If your practice hasn’t yet gone paperless, it’s time. Consider the many benefits: Using digital check-ins, forms, and records is better for the environment and reduces costs. Patients will enjoy the increased convenience of completing their paperwork online and on their own time. Even better, you won’t have to spend time manually booking appointments in a spiral planner, which is inefficient and often creates more confusion.

While some practice managers may utilize several software options to complete office tasks, that’s not very practical. But with Weave’s single integrated system for veterinary practices, no more stress or time is wasted. Our Online Scheduling tool lets patients request the appointment time that works best for their lives right on your website, then automatically books it into your calendar.

Tired of spending hours making phone calls to remind patients of appointments or confirm their attendance? With Appointment Reminders, you regain that lost time for more important tasks. You can customize by client name, appointment type, dates, and much more. Reduce the number of no-shows and quit playing phone tag for good!
